KMEA: 15th largest NAfME state membership

Attendance: Attended by 1,200 members, 3,000 students in more than 40 performing groups, 900 All-State Musicians (Band, Orchestra, Choir, Jazz, ML & Elem. Choirs), and their parents, sponsors, guests, spouses, etc. for a total attendance of approximately 6,000.
Exhibit Booths
Booths are ten feet deep by ten feet long with the drapery backdrop eight feet high. Side dividers are three feet high. All drapery is flameproof. One sign with the exhibitor name to hang over the backdrop is provided for each exhibitor. One six foot draped table and one chair will be provided for each booth. Additional furnishings may be acquired from the Henry Helgerson Company. Please see their information and order form on the Exhibits registration site. See price schedule above and note that prices are increased after December 15 and February 1. After February 1 there will be no refunds for cancellations.

Installation & Dismantling
Installation begins Thursday, February 27, no earlier than 8:00 AM when the room is opened and should be completed by 3:00 PM. Dismantling should not begin until 12:00 on Saturday. The KMEA board has asked that all exhibitors be in attendance through Saturday morning except in emergency situations. There are teachers that are only able to attend the conference on Saturday that come to see the exhibits when they arrive. We are also going to emphasize to parents attending the concerts on Saturday to come to the exhibits while they wait for performances. We will do our best to increase traffic during the three hour window Saturday morning.

Liability & Insurance
The Kansas Music Educators Association, Century II, or any officers or staff members will not be responsible for the safety of any property of the exhibitor from theft, damage by fire, accident, or any other cause, but all care will be taken to protect exhibitors from such loss. Wichita Police Department officers will be on duty during periods when the exhibits are closed. No responsibility is assumed for goods delivered to the exhibit area before the installation period or of unpacked material left in the exhibition area after the closing hour of the exhibit.

Fire Protection
Table decorations must be flameproof. Electrical wiring must conform with National Electrical Code Safety Rules. Exits and fire extinguisher equipment must not be obstructed. Exhibitors must comply with all city fire regulations.

Solicitation
No firm or organization not assigned exhibit space will be permitted to solicit business within the exhibit area.

Care of Building and Equipment
Nothing shall be posted on, tacked, nailed or attached to wall, floors, column, or other parts of the building or furniture.

Regulations and Contract
These regulations become a part of the contract between the exhibitor and the Kansas Music Educators Association. They are for the best interests of the exhibitors. The management asks the full cooperation of the exhibitors in the observance. All points not covered are subject to the discretion of the management.

Exhibit Hall Passageways
Exhibitors will not be allowed to place parts of their exhibit into the passageways and obstruct movement of workshop participants or block access to adjoining exhibits. Please purchase enough exhibit space that you can adequately accommodate all of your products within the confines of your exhibit area.

Century II Utilities Charge
If you need electricity or various internet services for your booth, you will need to contract those with Century II. You may download that form in the Exhibits registration site (when available). You must contact Century II for services and do not send that payment to KMEA! You may purchase all services on setup day, but at increased prices.

Shipping and Storage of Exhibit Materials
If you need to ship to or from Century II for the In-Service Workshop, you will need to download the Henry Helgerson Company form from the Exhibits registration site (when available). Do not ship items to Century II or send that payment to KMEA! You may also order additional furnishings from them at the same time. The Henry Helgerson Company will also be onsite during setup for any additional needs.
